TO: Specialty Clinic Manager

Job Overview: This is an exempt, professional, supervisory position. Provides supervision and support functions for Specialty Clinics with a great deal of independence but under the direction and guidance of the Manager. Responsible for direct supervision of staff for several Specialty clinics to ensure safe, efficient, professional, patient-centered care is provided. Monitors staffing, productivity and daily operations.

Prerequisites:

  • Minimum 3 years experience in an outpatient clinical office setting within the past 5 years.

  • Degree in Business or health administration or related field preferred

  • Two years of involvement in leadership activities and demonstrate progression of increasing level of responsibility

  • Attendance records that sets a good example

  • Strong computer skills and ability to learn new computer programs

  • Ability to grasp budgeting concepts and ability to work within a budget plan

  • Analytical and problem solving skills.

  • Willingness to embrace and seize opportunities provided by change

  • Proven behavioral traits consistent with values of the organization.

  • Ability to work on weekends and evenings when necessary for support of clinic operations.

  • Two years supervisor/coordinator experience in an outpatient physician clinic setting within the past five years preferred.

  • Unique Job Functions:

  • Assure appropriate office staffing on a daily basis.

  • Supports, trains and mentors staff so they can achieve their highest potential.

  • Understands coding and charging systems and performs reviews for accurate charging processes and opportunities for improvement.

  • Coordinate staff education and training and maintain staff education records.

  • Direct supervision of Specialty clinics front and back office staff.

  • Assist Manager with development and implementation of policies and procedures for Specialty Clinics.

  • Participate in budgeting process and fiscal management of the clinics.

  • Assist with preparation and revised requests for capital expenditures annually for submittal to Administration.

  • Interview applicants for office positions and make recommendations to Manager for final applicant.

  • Responsible for staff evaluation, development, motivation and problem solving.

  • Attend clinical coordinator/ leadership meetings and participate in quality improvement projects as appropriate.

  • Use decision making abilities and prior experience to lead, support and assist office staff on a daily basis

  • Coordinate training and orientation of new staff

  • Independently conduct employee correction activities up to a written warning consistent with organization practices.

  • C. General Duties (or oversight of activities) to include but not limited to:

    Patient problems (calls, front and Back desk patient issues, scheduling appropriate, office flow issues)

    Equipment (cleaning, minor equipment POs and tracking, repair orient staff, educate staff, new equipment)

    Patient flow (rounds in clinics, assist with problems, help on teams).

    Participate in overall management of the daily clinic operations and staff

    Ability to work on weekend and/or evenings when necessary.
